Your MyKappa Checklist

Log in to the Kappa website and be sure your email is up to date so we can reach you. Please use a personal email that is not a passed-down officer email. (Databases do not like shared emails!)
Start your checklist. It includes information on what’s coming, what you can expect, and a plan to help you prepare.
Be ready by June 18. Much of our system, including KeyReports, will enter a freeze period starting June 18 through launch the week of July 20.

General Questions

How should we plan for the transition to MyKappa?

We encourage chapters to take the following steps:
– Utilize the chapter officer checklist and Advisory Board transition checklist to keep up with the transition, plan ahead, and prepare for freeze periods.
– Let your chapter members know a transition is coming and encourage them to update/confirm their contact information before June 18. Note: If collegiate members are submitting references for friends attending other schools, they should submit them as soon as possible to avoid issues for Primary Recruitments occurring in late July/early August.

Are trainings planned for MyKappa?

Yes! Training will be provided to chapters and Advisory Boards when MyKappa launches. Kappa plans to offer a variety of options, including live webinars, prerecorded trainings, step-by-step guides, an in-portal support hub, and support from the Kappa Headquarters staff.

Who will have access to MyKappa?

All members, including new members, will have access to MyKappa. Each member’s view and functionality will be customized based on their membership status, leadership role, etc.

Should I use my officer email account to create my MyKappa login?

No. If the email currently listed on your member profile is role-specific, please update it to a personal address (that is NOT an .edu/university email) before June 18. Shared and passed-down emails cause issues with our database and email marketing system. Our best way to reach you is through your personal email.

Some members don’t have email addresses listed on their profile. Will they still be able to access MyKappa?

Yes. They will need to connect with Kappa Headquarters to access MyKappa. To avoid delays after launch, please ask members to add an email (that is NOT an .edu/university email) to their profile before June 18.

Will chapters still use Billhighway to invoice dues and fees to collegiate members?

Yes. There will be no changes to how chapters bill their members.

While not available at launch, the plan is for members to be able to access their Billhighway invoices via MyKappa in the future.

How will my chapter receive references for potential new members over the summer?

References will be available in KeyReports until a temporary freeze in July (TBA) right before the MyKappa launch. Following the launch, all references submitted in the past year and going forward will be accessible in MyKappa.

My chapter is starting to plan events with alcohol for the fall. How should we complete the Event Planning Form?

EPFs will be available in KeyReports until a temporary freeze in July (TBA) right before the MyKappa launch. Following the launch, all EPFs submitted in the past six years will be accessible in MyKappa and will be submitted there going forward.

If your chapter is planning an event that requires an EPF in August or early September, you should work to submit the EPF as early as possible to avoid issues during the temporary freeze.

We forgot to submit a report before the KeyReports freeze period. What should we do?

Please email Chapter Services. You may be asked to share the information with your Content Specialist or save information to submit after MyKappa launches.

Will all the functionalities in KeyReports be available at launch in MyKappa?

We’re starting with core, essential functionality such as updating your profile, references, chapter websites, membership and leadership rosters, and member status updates. Once the foundation is in place, we’ll continue adding new capabilities and enhanced experiences, building over time based on readiness, feedback, and what will add the most value. This phased approach supports a smoother transition for everyone.

Should I download past reports from KeyReports ahead of the freeze period?

Yes. With the phased approach, it’s possible that past reports and documents may not be available immediately at or following launch. Download any reports or documents you may need to reference for your role.

Will Minerva and OmegaRecruit still be available?

Yes! Minerva will continue to be Kappa’s learning management system and OmegaRecruit will continue to be Kappa’s membership selection software. You will be able to access the links for these resources from MyKappa.

As advisers, how can we best support our chapter leaders during this transition? Will we have access to the same things we did before?

We encourage you to work with your chapter leaders to complete their checklist and ensure they are ready for the transition.

As an adviser, you will have customized access in MyKappa based on your role.

Roster Management

Will our chapter roster be loaded into MyKappa?

Yes! Your chapter roster will be loaded and available in MyKappa at launch. Be sure to make any roster updates before June 18. Roster updates will be frozen until the MyKappa launch the week of July 20.

What if I need to make a roster change during the freeze period?

Hold on any roster and membership status changes until MyKappa launches the week of July 20. You will be able to update member statuses and set the appropriate effective date if it has already passed.

Note that chapter billing will occur on Aug. 3, so you will want to make any changes to your roster if members leave school, graduate, or resign ahead of that date.

What if I need a copy of my roster during the freeze period?

You will be able to access a copy of the roster in KeyReports during the freeze period. We recommend downloading a copy to have on hand as well.

Chapter Websites

Will our chapter still be able to use OmegaOne as our website and internal communications platform?

No. Kappa will no longer provide OmegaOne as a website and internal communications option. Many of these features, including the chapter website and emailing, will be available in MyKappa at launch.

Be sure to download important documents saved in the members-only platform of OmegaOne.

Pro tip: Copy and save any website content and download any photos your chapter wants to use on the new website.

Will we be able to customize our chapter website?

Yes! Chapters will be able to customize their chapter website content with photos and text, similar to how they currently customize OmegaOne sites.
