Frequently Asked Questions
General Questions
Yes! You can find recorded trainings and step-by-step guides, in MyKappa’s support hub. Kappa Headquarters staff are here to help you, too.
No. Shared and passed down emails cause issues with our database and email marketing system. Our best way to reach you is through your personal email.
Yes! All participating association members, including seasonal members, can be included on your membership roster.
Our expectation is that alumnae associations will use MyKappa for their core association needs. MyKappa is a major investment in Kappa’s technology infrastructure, creating a more streamlined and secure experience. It will be a transformational digital experience for member connection, especially for alumnae associations.
MyKappa launched with core, essential functionality for alumnae associations, such as galley and leadership roster management, streamlined per capita fees and alumnae association dues payments, event calendar, emailing system, and association websites. Kappa is committed to building out MyKappa with new capabilities and enhanced experiences based on your alumnae association’s needs and feedback.
We understand that some associations may have contracts/subscriptions with database and/or communications vendors. Please reach out to the MyKappa team if your association is working with a database or communications vendor to discuss current contracts/subscriptions and how the association uses this software.
You’ll find the core, essential functionalities from KeyReports, including the full association galley, dues-paying member roster, leadership roster, and sharing obituary notices. MyKappa also streamlines resources from other technology platforms, including updating your profile, references, alumnae association and chapter websites, and annual per capita fees and association dues payments.
Now that the foundation is in place, we’ll continue adding new capabilities and enhanced experiences, building over time based on readiness, association feedback, and what will add the most value. This phased approach supports a smoother transition for everyone.
Yes! Alumnae will be able to see events happening both locally and on the organizational level.
Yes! Association officers will be able to send MyKappa invite emails to members of the association through the roster feature. We recommend hosting a MyKappa login support session at your next event. Encourage members to bring their laptops, tablets, or mobile devices and help one another get logged in and comfortable navigating the system for the first time.
Association Dues
Instead of tracking per capita payments separately from association dues — and managing different deadlines, payment methods and reminders — you’ll use one unified billing process in MyKappa. It creates a simpler, more streamlined, and secure experience for members, association officers, and the Fraternity as well as:
– Reduces errors.
– Accelerates collections.
– Gives real-time visibility to who has paid.
– Allows association officers to focus on member communication and relationship-building instead of administrative work.
– The alumnae association will set up a Stripe account, the payment-processing platform where money from MyKappa will be deposited. Review how to set up your Stripe account and how to set up local dues configuration in MyKappa.
– The alumnae association will enter its pricing structure into MyKappa. The system will allow up to five pricing options in addition to an optional non-tax-deductible donation to the association’s operating fund.
– Alumnae are able to pay their per capita fee and alumnae association dues simultaneously. Dual -association members will be able to complete a second transaction for their other association.
Yes! Five membership levels and non-tax-deductible donations will be supported for association dues collection.
We encourage all alumnae associations and members to pay through MyKappa. It’s the fastest and easiest option for the association Treasurer, the Fraternity, and the members themselves.
Only alumnae associations that set up their membership levels and Stripe accounts in MyKappa will show as options for alumnae to choose if they want to add on an association membership to their per capita payment.
We strongly encourage all associations to complete this setup, not just to simplify dues collection but because it increases your association’s visibility and accessibility to all members.
When alumnae log in to MyKappa, they’ll be able to discover and join participating associations as part of the dues-payment process. For many members, this may be their first introduction to your association or the reminder they need to reconnect. Think of it as a passive recruitment and engagement tool that helps put your association in front of members who might not otherwise seek you out.
Please note: If you choose not to set up dues collection through MyKappa, you’re still an active association! You just won’t be listed as an option in that process because there will be no local membership dues to select or account to disperse the money to.
If members prefer to pay via check or the alumnae association will not be participating in the MyKappa payment process, manually reporting association members and submitting per capita fees remains available. Alumnae associations will need to:
– Report these Kappas as association members directly to the Alumnae Experience Department using this template.
– Mail a check covering these Kappas’ per capita fees to Kappa Headquarters: 6640 Riverside Drive, Suite 200, Dublin, OH 43017. Print and complete the Alumnae Association Fee Report to enclose with your check.
– Note: Members will not show on the association’s dues-paying member roster until they are reported via the template and their per capita fees received. Please report these Kappas and send their per capita fees as soon as possible so you have access to an accurate dues-paying roster and the ability to email these members through MyKappa’s email feature.
No! The alumnae association will set up a secure Stripe account where all association dues payments will be deposited directly to the association’s bank account on the timeline you select (daily, weekly, monthly). Associations will receive instructions about how to set this up soon.
Association Communication
MyKappa will provide association officers the ability to communicate with all alumnae, regardless of dues status, in their geographic area via the portal’s emailing system. Officers will be able to segment communications for different purposes as well.
Mass texting will not be available in MyKappa at this time.
Alumnae associations are welcome to communicate with members through group messaging apps or SMS texting platforms. Keep in mind that both the United States and Canada have legal requirements when it comes to texting. Check out this resource for ideas on group messaging and texting.
Yes! The emailing system will be able to segment communications with association members.
Yes! Association officers will be able to update members’ contact information and report members who have passed away.
Association Websites
No. Kappa no longer provides OmegaOne as a website and internal communications option. Many of these features, including the association website and emailing, are available in MyKappa.
Yes! Associations are able to customize their website content with photos and text, similar to how they customized OmegaOne sites.
Yes! Your association’s URL will remain the same.
