Be sure to check in at both the hotel and Kappa registration desks. The Kappa registration desk will be located at the East Registration Desk located in the Level 1.


Getting to Phoenix

All attendees are encouraged to use Kappa’s official travel agency, Direct Travel, to make their travel arrangements for Convention. Please note: Attendees whose transportation costs are paid for by Kappa must make their travel arrangements through Direct Travel and will not be reimbursed for travel booked through another source. All travel information will be collected during registration.

The Fraternity will not provide airport shuttles. Participants should plan ridesharing to and from the airport and the hotel. Kappa will not reimburse attendees for travel to and from the airport. Kappas can connect for ridesharing opportunities in the Convention app that will be available closer to the event. This is a great way to meet sisters!

Once a participant has registered for Convention, they will be directed to the travel information section of the Convention Registration site. Registration will not be complete until you have completed the Travel Information section of Convention Registration.  

When registering with Direct Travel, you will be required to state the capacity in which you are attending Convention (e.g., chapter delegate, association delegate, House Board representative, chapter adviser, general member, Fraternity representative or event staff). Remember: Kappa pays for one chapter delegate and one alumnae association delegate to travel to Convention. Additional attendees should register as general members. 

(Per Kappa policies, participants whose transportation costs are covered by Kappa will be reimbursed for the cost (if any) of one standard checked bag. Additional baggage fees will be the participant’s responsibility. Kappa pays the lowest applicable airfare from the participant’s home city to Convention. Any stopover or deviation will be at the participant’s expense. Any changes to the purchased airline ticket are at the expense of the participant.)

IMPORTANT: Upon completion of registration, participants requesting air travel will receive a proposed travel itinerary within two weeks of registering. Participants MUST confirm their air travel within 24 hours of receiving the proposed travel itinerary from Direct Travel. Failure to respond to the travel confirmation email will result in the travel being ticketed. Any changes to ticketed travel are at the expense of the participant. The proposed travel itinerary email will come from kkgconvention@dt.com. The subject line will read: ACTION RQD KKG CONVENTION.

Please be sure to check your spam folder if you do not see the email appear in your inbox. Again, once the email has been received, you must reply to the email to request modifications to the proposed travel itinerary within 24 hours. Failure to respond to the email within 24 hours will automatically ticket the air travel.

Kappa’s official travel agency is Direct Travel. Any participant whose travel arrangements were made by Direct Travel can contact an agent at 888-874-7404 during business hours (8 a.m.–7 p.m. ET, Monday through Friday) or email kkgconvention@dt.com with questions regarding airline reservations.

As a reminder, participants whose transportation costs are paid for by Kappa (chapter and association delegates and Fraternity representatives) must make their travel arrangements through Direct Travel and will not be reimbursed for travel booked through another source.

Direct Travel recommends that all participants download the airline mobile app prior to departure. The mobile app will allow for mobile check-in and will provide the current flight status and gate information on the day of travel. In addition, any travel delays or travel changes will be communicated immediately through the airline’s mobile app. In addition, check the Transportation Security Administration website for carry-on baggage restrictions.

If your flight is delayed or canceled or you miss your connection, use the airline’s app to view alternate flight options. The airline’s app is the best method in delay situations. The app will give you the most up-to-date information.

  • Attendees whose transportation will be paid by the Fraternity and who live within a 250-mile radius of the JW Marriott Phoenix Desert Ridge Resort & Spa in Phoenix are expected to drive to Convention and will receive a mileage reimbursement of 40 cents per mile. 
  • Attendees whose transportation will be paid by the Fraternity and who choose to drive to Convention will receive a mileage reimbursement of 40 cents per mile up to 350 miles (700 miles round trip).
  • Kappa will not reimburse valet parking at the hotel. 


Cancellation Policies

All cancellations must be provided in writing to the Convention team. A cancellation fee of $100 will be applied to cancellations received before May 1. Refunds for cancellations received after May 1 will be granted at the discretion of the Fraternity and will be considered following Convention.

All airline tickets must be canceled prior to the date/time of departure. Failure to do so will result in all funds being suspended and having no future value. 

If the Fraternity is paying for your air travel to Convention and you cancel your plans to attend Convention at any time/for any reason, the Fraternity will expect to be reimbursed the full cost of your air travel, including any fees (this includes agent service fees associated with the original booking and the cancellation). Following Convention, the Fraternity will bill the alumnae association and reimbursement will be expected within 30 days of billing. Once the Fraternity receives reimbursement, the airline ticket will become the property of the ticketed traveler.

Exceptions to the airline travel reimbursement policy may include:

  • Proof of death of an immediate family member (including individuals who are recognized as lawfully married under the law of any state), grandparents, grandchildren, brothers-in-law, sisters-in-law, mothers-in-law, fathers-in-law, stepmothers, stepfathers, stepchildren, and stepsiblings.
  • Medical documentation from a physician advising of an inability to travel prior to your scheduled date of departure.

All airline tickets must be canceled prior to the date/time of departure. Failure to do so will result in all funds being suspended and having no future value.

If the Fraternity is paying for your air travel to Convention and you cancel your plans to attend Convention at any time/for any reason, the Fraternity will expect to be reimbursed the full cost of your air travel, including any fees (this includes agent service fees associated with the original booking and the cancellation). Following Convention, the Fraternity will bill the chapter through Billhighway. Once the Fraternity receives reimbursement, the airline ticket will become the property of the ticketed traveler.

Resort Details

Kappa makes all hotel reservations. All rooms are double occupancy. Roommates are selected by attendees. Attendees who do not choose a roommate will be assigned one by the Convention team. 

The Convention team will assign rooms based on your chapter affiliation and convention type.  For example, if you are an undergraduate from the University from the University of Michigan, all efforts will be made to room you with another undergraduate from your chapter. 

Single rooms are an option during the registration process. Single rooms have an additional nightly fee paid by the attendee. 

All rooms are nonsmoking.

Hotel rooms are only reserved through registration packages and Kappa.

Self-parking at the hotel is complimentary for registered hotel guests. The valet rates for registered hotel guests are:

  • Per vehicle: $39
  • ADA/handicap: $0 

Daily valet parking rates for attendees not staying at the hotel are: 

  • 04 hours: $15
  • 46 hours: $30
  • 6+ hours: $40
  • ADA/handicap: $0

Daily self-parking rates for attendees not staying at the hotel are: 

  • 06 hours: $10
  • 6+ hours: $25

All incidental hotel charges will be paid for by attendees via a personal credit card at the hotel outlet. There will not be any option to charge incidentals to your hotel room.

After checking in with the hotel, please let the bellman know if you need assistance with your baggage. The customary tip is at least $1 per bag if the bellman assists you to your room.

Each guest room is equipped with a hairdryer, iron, ironing board and minifridge. The hotel offers complimentary wireless internet in guest rooms.

Extend Your Stay

Need more Kappa time or looking for a little R&R or extra time in the sun before or after Convention? Extend your stay at the Kappa rate of $189 per night plus tax and applicable fees. This is perfect for a reunion or to meet up with friends and family. This rate is only available June 24–26 and June 30–July 2. You will pay the hotel directly for any extra nights, but the reservations must be made through Kappa.
